Linnworks to QuickBooks Desktop

Introduction

DBSync for Linnworks & QuickBooks Desktop Integration is an easy to use application. It integrates Linnworks Customer, Products, Processed Orders, Purchased Orders and Supplier with QuickBooks Desktop Customer, Item inventory, Invoice, Sales Order, Estimate, Vendor, Purchase Order, Bills, and Item Receipt. DBSync provides integration with pre-built field-to-field mapping along with flexibility for more complex and dynamic mapping capability. DBSync's automatic online update enables its customers to enjoy all the product updates and features that come with every new release.

DBSync Profile and Application Setup

  • Go to www.mydbsync.com & register for Free Trial. Ensure that Source and Target Adapters are Linnworks and QuickBooks Desktop respectively.

  • Login to DBSync Cloud Workflow

  • Click on 'Login' and choose 'Cloud Workflow' as shown in the image below:

  • Provide your 'User Name' and 'Password' setup during signup and click 'Login'.

  • You will be redirected to DBSync Cloud Workflow Home Screen as shown below

  • Click on Linnworks Connector and choose 'Login to Linnworks'

  • You will get a pop-up to confirm your Linnworks - User Name and Password. Enter Credentials, accept T&C and click 'Login' as shown below:

  • Click on QuickBooks Desktop Connector and download the QuickBooks Web Connector. Ensure you copy the file path from QuickBooks Desktop and provide the details in 'QuickBooks File' location. You can also choose the version as shown in the image below.

Step1: Download QuickBooks WebConnector to run this task

  • QuickBooks File: To know the path, open the QuickBooks app and press the function F2 (or Fn+F2) key from your keyboard. File path is mentioned in the 'File Information' section.

  • QuickBooks Version: Choose the version as 2014 and more

  • Select the number of retry counts. Usually 2.

  • Save the setup

Step2: Select the task to download QuickBooks WebConnector

  • Project Name: It will be the default current project

  • Task Name: Choose which task to be automated.

  • Click on download as admin mode and single user, and double click the .qwc file.

  • Make sure your QuickBooks Desktop file is opened

  • Select the option 'Yes, always; allow access even if QuickBooks is not running'. Then, select 'Admin' click on continue.

  • DBSync integration process will be added to your Quickbooks Web-Connector. Once the process is added to the web-connector, add the DBSync account password in the Password section of the Web-Connector. Then press ENTER and click on "yes".

  • You are now ready to run the integration using pre-built forms.

Process to Run the Integration

To utilize the pre-built template DBSync Linnworks QuickBooks Desktop follow the below steps:

  • Login to DBSync Cloud Workflow and from the home screen click 'Add Template'.

  • Select the template: Linnworks to QuickBooks Desktop Orders Integration which allows for running multiple workflows and integration between the two applications.

  • The template will be added to 'Your Projects'.

  • Select the template and you will be redirected to the 'Task Screen'.

  • Click 'Configure' to access various workflows pre-built for the integration.

  • Select the desired integration, Click Configure and activate the 'Enable Flow' option for any workflow you want to run.

Pre-built Template and Workflows

The template downloaded from the library contains various workflows which can be enabled to run the integration between Linnworks and QuickBooks Desktop

Enable the Initial Setup and Run the integration to enable QuickBooks Accounts set up as displayed in the image. Also note, the following accounts are created in QuickBooks Desktop post Initial Setup Integration:

  1. Income Account

  2. Expense Account

  3. Assets Account

Ensure you TURN OFF the check box to 'Enable Flow' for the Initial Set up (After first Run) before you run the workflow to integrate Linnworks Purchase Orders or Processed Orders to QuickBooks Desktop using the other two workflows. The first successful run is considered for the integration.

Make sure you ENABLE the required workflows before you run the integration.

  • Import the template from the template library and click 'Setup'.

  • You will be redirected to the setup screen.

  • Verify your applications are connected : Linnworks and QuickBooks Desktop.

  • Ensure you are connected to both the applications.

  • Click 'Next'.

a) LinnWorks Processed Orders to QuickBooks Desktop Transaction

If you would like to push transactions into QuickBooks Desktop and choose the type of transaction: Invoice, Sales Order or Estimate.

  • Click 'Next' to 'Run' to complete the Integration.

    • Select the DBSync WebConnector application and click 'Update Selected'

    • The WebConnector will start updating the information and the progress bar will show the status of completion.
