Microsoft Dynamics CRM Online

Learn how to use Microsoft Dynamics CRM Online Connector in DBSync Cloud Workflow

Overview

The DBSync Microsoft Dynamics CRM Online connector helps you transfer data in and out of your Dynamics CRM. With this connector, you can:

  1. Populate data warehouses.

  2. Synchronize customer databases.

  3. Streamline transaction details and online payments, reducing double data entry, and saving time and money.

This connector directly connects to your Microsoft Dynamics CRM Online instance, letting you query, add, modify, and delete various records.

Prerequisites

To connect to Microsoft Dynamics CRM using the DBSync D365 CRM Online connector, you need:

  1. A valid DBSync D365 CRM Online connector license, and a username and password for the DBSync iPaaS platform.

  2. A valid username and password for the D365 CRM Online application with sufficient permissions to perform CRUD operations.

Connector Configurations

An D365 CRM Online connector instance represents a single D365 CRM account, including login credentials. To connect to multiple instances (sandbox or production), you need to create a separate connection for each instance.

The following table outlines the required parameters for connecting to an D365 CRM Online user instance:

Meta Data Expand Depth: This option allows you to control how deeply related metadata is retrieved during object discovery.

  • Expand 1 Level (default): Retrieves only the immediate metadata of selected entities and their direct relationships.

  • Expand 2 Levels or more: Includes nested relationships, which may be useful for more complex integrations but could impact performance.

Note: Choose a level based on your integration needs. A higher level may provide more context but may take longer to load metadata.

Uses of the D365 CRM Connector

The DBSync D365 CRM connector allows Dynamics CRM Online users to:

  • Export and import data from databases and sources like Salesforce.com

  • Replicate cloud data in-house to build Data Warehouses or Master Data Management systems.

  • Integrate and reduce data entry with ERP applications like QuickBooks Desktop, Intacct, and QuickBooks Online.

Permissions

To connect with the DBSync application, you need:

  • An active user license for all apps requiring integration, such as Sales, Customer Service, etc.

  • Admin rights for your D365 Instance or a Global Admin with a D365 license.

  • Full read/write permissions to access the entities connected to DBSync.

D365 CRM Webhooks setup (Optional but Powerful)

You can also enable Webhooks for near real-time data sync from Dynamics CRM to DBSync. Here’s how to use them:

Setting Up Webhooks in Dynamics 365 CRM:

  1. Go to Power Platform Admin Center → Select your environment.

  2. Navigate to Advanced Settings → Under “Processes,” choose Webhooks.

  3. Register a New Webhook using your DBSync endpoint URL.

    • The endpoint is available under the Webhooks tab in the DBSync connector setup.

  4. Choose the entity and event you want to trigger the webhook on (e.g., create/update of a Lead).

  5. Save and activate the webhook.

Once enabled, Dynamics will automatically push updates to DBSync whenever the selected event occurs—no polling is required.
