Linnworks Orders to QuickBooks Desktop

Introduction

DBSync for Linnworks Orders to QuickBooks Desktop Integration is a user-friendly application that seamlessly connects Linnworks with QuickBooks Desktop. It integrates Linnworks Customer, Products, Processed Orders, Purchased Orders, and Supplier data with QuickBooks Desktop's Customer, Item Inventory, Invoice, Sales Order, Estimate, Vendor, Purchase Order, Bills, and Item Receipt modules.

The integration comes with pre-built field-to-field mapping for standard use cases, while also offering advanced flexibility for complex and dynamic mapping requirements. Additionally, DBSync's automatic online update feature ensures users benefit from the latest product enhancements and new features with each release.

DBSync Profile and Application Setup

1. Click the Apps icon from the left navigation tool bar.

1. Click on Linnworks Connector and choose Login to Linnworks.

1. You will get a pop-up to confirm your Linnworks account. Enter the credentials, accept the T&C by enabling the checkbox and click Login as shown below.

1. Click on QuickBooks Desktop Connector and download the QuickBooks Web Connector. Ensure you copy the file path from QuickBooks Desktop and provide the details in QuickBooks File location. You can also choose the version as shown in the image below.

Downloading QuickBooks WebConnector

1. QuickBooks File: To know the path, open the QuickBooks app and press the function F2 (or Fn+F2) key from your keyboard. File path is mentioned in the 'File Information' section.

2. QuickBooks Version: Choose the version as 2014 and more.

3. Select the number of retry counts. Usually 2.

4. Save the setup.

Select the task to download QuickBooks WebConnector

1. Project Name: It will be the default current project.

2. Task Name: Choose which task to be automated.

3. Click on download as admin mode and single user, and double click the .qwc file.

4. Make sure your QuickBooks Desktop file is opened.

5. Select the option Yes, always allow access even if QuickBooks is not running. Then, select Admin and click Continue.

6. DBSync integration process will be added to your Quickbooks Web-Connector. Once the process is added to the web-connector, add the DBSync account password in the Password section of the Web-Connector. Then press ENTER and click on Yes.

7. You are now ready to run the integration using pre-built forms.

Process to Run the Integration

To utilize the pre-built Linnworks Orders to QuickBooks Desktop template, follow the steps given below.

1. Click on Add Template from the home screen.

1. Select the template: Linnworks Orders to QuickBooks Desktop which allows for running multiple workflows and integration between the two applications.

2. The template will be added to Your Projects.

3. Select the template and you will be redirected to the Task Screen.

4. Click Configure to access various workflows pre-built for the integration.

1. Select the desired flow, click configure and activate the Enable Flow option for any worklfow you want to run.

Pre-built Template and Workflows

The template downloaded from the library contains various workflows which can be enabled to run the integration between Linnworks and QuickBooks Desktop

Enable the Initial Setup and Run the integration to enable QuickBooks Accounts set up as displayed in the image. Also note, the following accounts are created in QuickBooks Desktop post Initial Setup Integration:

• Income Account

• Expense Account

• Assets Account

Ensure you TURN OFF the check box to Enable Flow for the Initial Set up (After first Run) before you run the workflow to integrate Linnworks Purchase Orders or Processed Orders to QuickBooks Desktop using the other two workflows. The first successful run is considered for the integration.

Make sure you ENABLE the required workflows before you run the integration.

DBSync Setup Wizard

1. Once you download the template, you will be redirected to the Task screen.

2. Click Setup in the Task screen. You will be redirected to the Setup screen.

3. In the Connect tab, verify if your applications are connected: Linnworks and QuickBooks Desktop, and Click Next.

4. Configure the following in the Setup tab.

a. LinnWorks Processed Orders to QuickBooks Desktop Transaction

If you would like to push transactions into QuickBooks Desktop and choose the type of transaction: Invoice, Sales Order or Estimate.

b. LinnWorks Processed Orders to QuickBooks Desktop Transaction

LinnWorks Purchase orders to QuickBooks Desktop Transaction

If you would like to create Purchase Orders in QuickBooks Desktop such as Bills or Purchase Orders, use this workflow.

1. Click Next and click Run Now to complete the Integration.

2. Select the DBSync WebConnector application and click Update Selected.

3. The WebConnector will start updating the information and the progress bar will show the status of completion.
