Introduction

In this guide, you’ll learn how to set up and use the HubSpot to QuickBooks Online Integration using DBSync Cloud Workflow. This prebuilt template comes with standard field-to-field mappings and can be customized to handle more advanced, dynamic data transformations. You can also extend it to support your business-specific workflows.

With DBSync’s automatic updates, your integration always benefits from the latest features and improvements without requiring manual upgrades. Use this manual to walk through the entire setup process—from authentication and connector configuration to field mapping and executing your first sync. This integration is ideal for streamlining sales operations, financial recordkeeping, and the full order-to-cash lifecycle between HubSpot and QuickBooks Online.

Prerequisites

Before setting up the integration, ensure you have the following:

  • Active Accounts for HubSpot and QuickBooks Desktop.

  • DBSync Cloud Workflow Subscription with the appropriate integration template.

  • Admin Access to HubSpot and QuickBooks Desktop.

Process to Run the Integration

To utilize the pre-built template DBSync HubSpot and QuickBooks Online follow the below steps:

  1. Click Add Template from your Home screen. In the Template Library, Import the HubSpot to QuickBooks Online Order to Cash Integration template.

  1. Click Import to import the template into your workspace. You can choose to provide a custom name for the template.

  2. After importing the template, you'll be presented with a setup form containing four simple steps.

Setup Process

  1. Setup the connection for both the connectors - QuickBooks Online and HubSpot.

  2. Click Connect to QuickBooks to establish a connection to QuickBooks Online to access the data.

  3. Click on HubSpot connector and click Login to HubSpot to connect to the HubSpot application to access the data.

  1. Setup Variables - Define the values for variables based on your company's specific use case.

For example, you can select the values for HubSpot transaction creation variables, and transaction types (Invoice, Estimate, Sales Receipt) for data mapping between HubSpot and QuickBooks Online.

  1. Click Next to proceed further.

  2. Click Run Now to complete the Integration.

  3. You can choose to set up scheduling parameters for automated integration between HubSpot and QuickBooks Online.

  4. Specify different intervals such as minutes, hours, days, or weeks.

Pre-built Template and Workflows

The template downloaded from the library contains various workflows which can be enabled to run the integration between HubSpot and QuickBooks Online.

Enable the Initial Setup and Run the integration to enable QuickBooks Accounts set up as displayed in the image.

Also, the following accounts are created in QuickBooks Online post Initial Setup Integration:

  1. Income Account

  2. Expense Account

  3. Assets Account

Ensure you select the check box to Enable Flow for the initial set up (after the first run integration) before you run the workflow to integrate HubSpot Deals or Invoice to QuickBooks Online using the other two workflows. The first successful run is considered for the integration.

Select the Enable Flow to enable the required workflows before you run the integration.

By following this guide, users can successfully integrate HubSpot with QuickBooks Online to automate order-to-cash processes, enhance efficiency, and eliminate manual data entry. For additional customization or troubleshooting, refer to DBSync’s support portal.
