Introduction

DBSync for SkuVault & QuickBooks Online Integration is an easy to use application. It integrates SkuVault Customer, Products, Sales, Supplier, and Purchase Orders with QuickBooks Online Customer, Item inventory, Invoice, Sales Receipt, Estimate, Vendor, and Purchase Order. DBSync provides integration with pre-built field-to-field mapping along with flexibility for more complex and dynamic mapping capability. DBSync's automatic online update enables its customers to enjoy all the product updates and features that come with every new release.

SkuVault and QuickBooks Online Bi-directional Sync

DBSync pre-built template published for SkuVault and QuickBooks Online now supports a bi-directional sync. You can easily update anything various items such as inventory, invoices, purchase orders etc created in Skuvault can be synced into QuickBooks Online and bi-directionally sync any AR (accounts receivables data) into SkuVault such as invoices, estimates and sales orders.

DBSync Profile and Application Setup

  • Go to www.mydbsync.com & register for Free Trial. Ensure that Source and Target Adapters are SkuVault and QuickBooks Online respectively.

  • Login to DBSync Cloud Workflow

  • Click on 'Login' and choose 'Cloud Workflow' as shown in the image below:

  • Provide your 'User Name' and 'Password' setup during signup and click 'Login'.

  • You will be redirected to DBSync Cloud Workflow Home Screen as shown below

  • Click on SkuVault Connector and choose 'Login to SkuVault'

  • You need to enter Credentials(Username, Password, Base Url), and click ‘Save Connection’ and then you can ‘Test Connection’, As shown below:

  • Click on QuickBooks Online Connector. Then, click on the link Connect to QuickBooks. Sign into QuickBooks online to authorize DBSync for QuickBooks to connect to Intuit.

  • Click 'Save' and 'Test Connection'.

  • You are now ready to run the integration using pre-built forms.

OR you can establish a connection with your application during the template import process. The initial step of the Setup Wizard involves linking to your applications.

Process to Create an Integration

To utilize the pre-built template DBSync SkuVault and QuickBooks Online follow the below steps:

First Step you need to Select the Integration Template

  1. In the Template Library, look for the integration template specifically designed for SkuVault and QuickBooks Online.

  2. Select the template and import it into your workspace.

  3. Enter a name for the integration project:

  4. After importing the template, you'll be presented with a setup form containing four simple steps.

Setup Process

  1. On the "Connection Setup" tab.

In this step we should Connect to our application to grant access to our SkuVault data and also establish a connection to QuickBooks Online for accounting data access.

  1. Setup Variables

    • Here, you should define values for variables based on your company's specific use case.

    • For example, you can select Yes/No for SkuVault Sales or Purchase Order creation variables, and transaction types (Invoice, SalesReceipt, Estimate) for data mapping between SkuVault and QuickBooks Online

    • Bi-directionally, you can also define the type of transaction in QuickBooks Online that you would like the Sales Order to be created on SkuVault. Choose the type of transaction from the below options:

      • Sales Receipt

      • Invoices

      • Estimates

    • Define the SkuVault Sales Status within for the Sales Order. Choosethe status type from the below options:

      • Pending

      • Completed

      • Ready-to-ship

      • Cancelled

      • Invalid

    • Create Sales Orders from QuickBooks Online : Choose from options

      • Yes or

      • No

  1. Click 'Next' to 'Run' to complete the Integration.

  1. Finally, navigate to the "Scheduling and Automation" step.

We need to Set up scheduling parameters for automated integration between SkuVault and QuickBooks Online. Here there are different intervals such as minutes, hours, days, or weeks. And also we can customize the schedule as needed.

You will be redirected to the 'Task Screen'.

  1. Click 'Configure' to access various workflows pre-built for the integration.

Pre-built Template and Workflows

The template downloaded from the library contains various workflows which can be enabled to run the integration between SkuVault and QuickBooks Online.

Make sure you ENABLE the required workflows before you run the integration.

Enable the Initial Setup and Run the integration to enable QuickBooks Accounts set up as displayed in the image. Also note, the following accounts are created in QuickBooks Online post Initial Setup Integration:

  1. Income Account

  2. Expense Account

  3. Assets Account

Ensure you TURN OFF the check box to 'Enable Flow' for the Initial Set up (After first Run) before you run the workflow to integrate SkuVault Purchase Orders or Sales to QuickBooks Online using the other two workflows. The first successful run is considered for the integration.

Make sure you ENABLE the required workflows before you run the integration.

Enable the Initial Setup if you want to Create All Products From Skuvault into QuickBooks Online. Historical products refer to products that were recorded in your Skuvault account but need to be transferred or migrated to QuickBooks Online for historical reference and continuity of data. Historical products are those that were part of previous records, transactions, or inventory but are not currently active or in use.
