Linnworks to QuickBooks Online

Introduction

DBSync for Linnworks & QuickBooks Online Integration is an easy to use application. It integrates Linnworks Customer, Products, Processed Orders, Purchased Orders and Suppliers with QuickBooks Online Customers, Item inventory, Invoice, Sales Receipt, estimates, Vendors, Purchase Order Bills. DBSync provides Bi-directional sync with pre-built field-to-field mapping along with flexibility for more complex and dynamic mapping capability. DBSync's automatic online update enables its customers to enjoy all the product updates and features that come with every new release.

DBSync Profile and Application Setup

  • Go to www.mydbsync.com & register for Free Trial. Ensure that Source and Target Adapters are Linnworks and QuickBooks Online respectively.

  • Login to DBSync Cloud Workflow

  • Click on 'Login' and choose 'Cloud Workflow' as shown in the image below:

  • Provide your 'User Name' and 'Password' setup during signup and click 'Login'.

  • You will be redirected to DBSync Cloud Workflow Home Screen as shown below

  • Click the Apps icon from the left navigation tool bar to add desired applications

  • Click on Linnworks Connector and choose 'Login to Linnworks'

  • You will get a pop-up to confirm your Linnworks - User Name and Password. Enter Credentials, accept T&C and click 'Login' as shown below:

  • Click on QuickBooks Online Connector. Then, click on the link Connect to QuickBooks. Sign into QuickBooks online to authorize DBSync Salesforce Integration for QuickBooks to connect to Intuit.

  • Click 'Save' and 'Test Connection'.

  • You are now ready to run the integration using pre-built forms.

Process to Run the Integration

To utilize the pre-built template DBSync Linnworks QuickBooks Online follow the below steps:

  • Login to DBSync Cloud Workflow and from the home screen click 'Add Template'.

  • Select the template: Linnworks QuickBooks Online which allows for running multiple workflows and integration between the two applications.

  • The template will be added to 'Your Projects'.

  • Select the template and you will be redirected to the 'Task Screen'.

  • Click 'Configure' to access various workflows pre-built for the integration.

  • Select the desired sync , Click configure and activate the 'Enable Flow' option for any worklfow you want to run.

Pre-built Template and Workflows

The template downloaded from the library contains various workflows which can be enabled to run the sync between Linnworks and QuickBooks Online.

Enable the Initial Setup and Run the Sync to enable QuickBooks Accounts set up as displayed in the image. Also note, the following accounts are created in QuickBooks Online post Initial Setup Sync:

  1. Income Account

  2. Expense Account

  3. Assets Account

Run Initial Setup

Ensure you TURN OFF the check box to 'Enable Flow' for the Initial Set up (After first Sync) before you run the workflow to sync Linnworks Purchase Orders or Processed Orders to QuickBooks Online using the other two workflows. The first success run is considered for the sync.

Make sure you ENABLE the required workflows before you run the sync.

  • Import the template from the template library and click 'Setup'.

  • You will be redirected to the setup screen.

  • Verify your applications are connected : Linnworks and QuickBooks Online.

  • Ensure you are connected to both the applications.

  • Click 'Next'.

a) Linnworks Processed Orders to QuickBooks Online Transaction

If you would like to push transactions into QuickBooks Online and choose the type of transaction: Invoice, Sales Receipt or Estimate.

b) Linnworks Purchase orders to QuickBooks Online Transaction

If you would like to create purchase orders in QuickBooks Online such as bills or purchase orders, use this workflow.

  • Click 'Next' to 'Run Now' to complete the sync.

Run Now

You can also choose to set a schedule to your sync: Update the task, start and end time along with frequency which ensures that both the applications are in common sync at all times.
