DBSync – Procedure for Creating a New User

1. Summary / Introduction

This article describes how to create a new user account for an existing Client account in DBSync. It outlines the prerequisites, recommended best practices, and the steps required to create the user account. After the user is created, verify that the account has the correct permissions and access scope.

Prerequisites:

  • Administrator access to the DBSync platform

  • Valid email address for the new user

  • The required user role and permission level must be defined before creating the user. Confirm which permissions the new user should have and verify that a corresponding role exists in the Permissions tab. If the role is not available, create a new permission configuration with the appropriate access levels before proceeding with user creation.

  • Authorization from an appropriate manager or designated authority confirming that the user requires access to the Client environment

Best Practices/Preventative Checks:

  • Verify that the user does not already exist in the system before creating a new account

  • Confirm that the email domain belongs to the authorized Client organization

  • Apply the Principle of Least Privilege when assigning permissions

  • Verify the user’s access scope after the account is created

  • Do not share credentials through email; allow the user to complete account activation through the system-generated password setup process

2 Steps

  1. Log in to the DBSync environment using an account with Administrator access.

  2. From the left navigation panel, select Administrator.

  3. In the Administrator section, navigate to:

  4. Role Management → User.

  5. Click Add User.

  6. In the Add User window, enter the required user information:

    1. Full Name

    2. Email Address

    3. Role / Permission level

  7. Assign the appropriate role and permissions based on the user's responsibilities. If specific permissions are not explicitly defined, apply the Principle of Least Privilege when selecting the role.

  8. After the user is created, an activation email is automatically sent to the email address provided. The user must follow the instructions in the email to complete the account activation and password setup.

Post-Creation Validations

  • Confirm that the user account appears in the User list within the Role Management → User section.

  • Verify that the assigned role and permissions match the intended access level.

  • Ensure the user has only the permissions required for their role (no additional privileges).

  • Confirm that the user can successfully activate the account using the activation email and log in to the system.
